Recruitment: Project Management Board Secretary at Yen My 2 Industrial Park, working in Hung Yen

I. Job Description:

  • Assist the Head of the Board in performing office tasks for the Project Management Board (PMB).
  • Ensure the timely receipt and return of all types of incoming and outgoing documents and records.
  • Archive and maintain all records at the PMB comprehensively and systematically.
  • Perform administrative office management, clerical, and archiving duties at the PMB.
  • Act as the primary contact to receive official dispatches, documents, and reports from various departments, present them to the Head of the PMB for processing and approval, and return the results to the respective units.
  • Track and follow up on execution results.
  • Compile and distribute documents, materials, and information to relevant departments in a timely manner as directed by the Head of the Board.
  • Organize note-taking, draft meeting minutes and meeting conclusion notices, and archive contents and related documents for meetings at the PMB.
  • Draft and issue official letters, reports, and proposals as directed by the Head of the Board.
    Act as the primary contact to receive and return official letters and documents from/to contractors and clients.
  • Arrange schedules and organize receptions for partners coming to work with departments at the PMB office.

II. Requirements:

  • Bachelor’s degree in Law, Finance, or Business Administration.

  • Over 1 year of experience as a secretary or office staff member.

  • High sense of responsibility. Ability to work under pressure.

  • Detail-oriented, careful, hardworking, responsible, honest, and straightforward.

  • Customer-oriented mindset.

  • Records and document management skills.

  • Understanding of company operations.

  • Capability in managing office work, clerical tasks, and archiving.

  • Analytical, synthesis, and reporting skills.

  • Ability to work independently and as part of a team.

  • Basic reading, writing, and communication skills in English.

  • Proficient use of office computing tools (MS Office).
